Running a multi-team program means schedule changes, volunteer gaps, and parent questions all hit at once. James Clemens Softball is our anchor beta — using SidelineOps HQ for schedules, volunteer coordination, and parent communication through the 2026 season.

Active beta partner · Full program use target August 2026 · Madison, AL

Import your season. Parents join in seconds. Alerts run themselves.

Three steps from spreadsheet chaos to a program your parents and volunteers can actually follow.

1

Import or build your schedule

Upload a spreadsheet or add events one at a time. Keep it private until you're ready, then publish a branded public page and ICS calendar feeds.

2

Parents join via QR code

Share a link at your parent meeting. Parents find their player, subscribe to updates, and view the schedule — no app download or account required.

3

Changes notify the right people

Edit a time, cancel a game, or open a volunteer slot — alerts go to parents, assigned volunteers, meal coordinators, and officials automatically.

When the schedule moves, communication breaks down.

Coaches already have calendars, group threads, and email lists — but a rain delay on Wednesday still means five separate messages to five different groups.

The problem
  • Schedule changes are easy to make, hard to communicate consistently.
  • Parents, players, volunteers, and meal coordinators get updated separately.
  • Volunteer slots go unfilled when games move or get added.
  • GroupMe is great for chatter — terrible as a schedule system of record.
  • Spreadsheets don't send alerts when cell B14 changes at 4 PM.
The SidelineOps HQ approach
  • One schedule update triggers targeted alerts to everyone affected.
  • Volunteer signup, assignments, and help-needed alerts in one place.
  • Public schedule page parents can bookmark — plus ICS for their calendar app.
  • GroupMe integration for teams that already live there.
  • Multi-team programs share events, call-ups, and team-specific times.
Keep GroupMe for team chatter. Use SidelineOps HQ for who does what, when. See full comparison →

Program operations — not a generic messaging app

Focused on what coaches actually do every week: schedule, notify, coordinate volunteers, and keep parents informed. We integrate with what you use; we don't try to replace your whole school stack.

📅

Multi-team schedules

Varsity, JV, Freshman, and more under one program. Shared events, call-up tracking, arrival and departure times, and team-specific start times.

🔔

Automatic notifications

Change alerts, cancellations, new events, and weekly digests — sent via email and GroupMe to the people who need them, not a blast to everyone.

🙋

Volunteer coordination

Role templates, standing assignments, parent self-signup via QR link, and help-needed alerts when slots are still open before game day.

👨‍👩‍👧

Parent join flow

Parents scan a QR code, select their player, and subscribe — linked to the correct team automatically. No app download required.

🍽

Meal & game-day logistics

Meal coordinators get targeted alerts for time changes and cancellations, with player counts per team including call-ups.

📱

Public schedule + ICS

A mobile-friendly public page branded with your colors and logo. Parents subscribe to calendar feeds — no login required.

📊

Import & rollover

Upload schedules and rosters from spreadsheets. Roll seasons forward without rebuilding from scratch every year.

🔐

Role-based access

Invite assistant coaches, volunteer admins, and meal coordinators with permissions scoped to what they actually need.

💬

GroupMe integration

Push schedule alerts to your existing GroupMe groups. Keep the thread for culture; let SidelineOps handle structured updates.

The right message to the right people

When you change a start time, parents and event-assigned volunteers hear about it immediately — not when someone remembers to post in the group chat.

Questions coaches ask before signing up

No. SidelineOps HQ is the operational layer for schedules, volunteers, and structured alerts. Keep GroupMe for team culture and your school portal for the official public record. We sit beside them — and integrate with GroupMe for notifications.
No. Parents join via a QR code or link, select their player, and receive email updates. They can view the public schedule and subscribe to an ICS calendar feed without logging in.
We're focused on high school programs with multiple teams (Varsity, JV, Freshman) — especially softball and baseball where schedule and volunteer complexity is highest. Single-team programs work too, but multi-team is where SidelineOps HQ shines.
Beta is invite-only. Request access with your program name and sport — we'll reach out to schedule a short onboarding call, help import your schedule, and get parents connected before your season ramps up.
Email is our primary channel in beta — it reaches parents reliably without per-message costs. GroupMe covers teams that prefer instant mobile notifications. SMS is on the roadmap; we'll add it when programs need it, not before.
